ADMINISTRATION EXECUTIVE REQUIRED IN DUBAI
JOB DESCRIPTION
1.Reporting directly to Managing Director.
2.Serve as the primary point of contact
3.Managing calls/appointments/calendars/diary of Managing Director.
4.Prepares and monitor all incoming and outgoing correspondences (memos, emails, fax, letters & etc
5.Manage records, monitor deadlines and follow-up responses with internal and external ;
6.Handles company insurance (Workmen's Compensation, Public Liability, Fire & Burglary, Marine Cargo, Group Medical Insurance & etc)
7.Coordinate with Embassies / Consulates, Travel Agencies, Hotels, Rent-a-car companies.
8.Organizing and preparing complex travel itineraries (visa applications, ticket and hotel reservation and etc.)
9.Perform a variety of administrative or executive support tasks that are highly confidential and sensitive
10.Relay directives, instructions and assignment to staff as directed by MD.
11.Preparing & compiling reports / presentation.
12.Handles ISO 9001:2015
13.Coordinate with JAFZA regarding administrative
14.Responsible to conduct Human Resources
15.Management and other employee matter.
16.Recruiting staff - includes developing job descriptions, preparing job advertisements, checking application forms, shortlisting, interviewing, selecting candidates & training.
17.Processing Employee Services Application (Employment/Residence Visa, CEC, Health Card, EIDA, Employment Contract, End of Service & etc) using JAFZA Portal.
18.Provides Salary Certificates, Salary Transfer Letter, Employment Certificate, No Objection Letter, & etc. as per employee requests.
19.Arrange Employee's Medical, Emirates ID Biometric Tests, Trainings (Basic First Aid Training, Fire Fighting Training, Safety Training, & etc.)
20.Monitors employee benefits: leave monitoring, annual flight ticket entitlement and medical reimbursement and claims.
21.Monitoring of Staff's attendance sheet.
22.Planning & organizing company events.
23.Maintains office supplies by checking stocks; placing and expediting orders; evaluating new products.
24.Responsible for Trade License Renewal, Digital Certificate Renewal, Civil Defense Subscription, Contracts Renewal & etc.
25.Represent the company at different offices like Airport Embassies, Police Station Ministries/Municipalities and other government Departments.
26.Arrange office equipment's maintenance and general service.
27.Processing company vehicle registration / renewal at RTA Portal.
28.Prepares Sales & Custom Documents (Proforma Invoice, Sales Invoice, Purchase Orders, Service Order, Offers/Quotation, Internal Transfer Documents & etc).
29.Prepares Material Submittals.
30.Tracking of shipment.
31.Processing application for Certificate of Origin at Dubai Chamber Portal.
32.Processing custom declaration using E-Mirsal II system (Import, Internal Transfer Documents & Free Zone Transit Out for Duty Exempted).
33.Custom Stock Inventory Bill of Entry/Exit (In & Out) reconciliation.
34.Processing visitors & material gate pass.
35.Assist accounts department in preparing landed cost.
36.Monitoring of petty cash / cash disbursement and preparing monthly report.
37.Prepare VAT refund report.
38.Conducting research on the internet.
39.Handle adhoc assignments
QUALIFICATION
1.FEMALE (Philippines Passport Holder only), can join immediately
2.University Graduate
3.3-5 yrs UAE Experience (Jafza experience is an advantage)
4.Well verse in English
5.MS Office Proficient (Excel, Outlook, Word & etc)
6.Knowledge in Online Portal (Dubai Trade, Mirsal 2, Tasreeh, RTA Portal, Dubai Chamber & etc)
7.Typing Speed
8.Report Conceptualization & Presentation
9.Business Sales Transaction
