Main Responsibilities
Preparing management accounts on a monthly basis
Compiling and finalising the weekly sales figures
Raising invoices for annual renewal services 2 months before the due date & send to clients
Maintaining a log of the status of annual renewal invoices (whether they have been sent or are unsent) & note down the clients remarks
Preparing draft invoices for first year fees based on the consultants request & in line with the Company fee schedule & send to clients
Finalising the draft first year fee invoice & raise in the system once the client had made payment
Raising administration invoices & sending to clients based on the request of the administrators
Coordinating & liaising with clients regarding any queries they may have
Preparing the ageing report & reconciliating receivables with the customer statements
Following up with clients on a monthly basis for the timely collection of outstanding balances
Advising the client in a timely manner of any penalties that have been incurred on overdue renewal fees & raise penalty invoices for the same
Canceling previous penalty invoices & raising new invoices to account for revised penalty for further delays & send to client
Updating the invoice log for the client’s remarks & following up with the client for payment as mentioned above
Ensuring that the client credit limit is not surpassed and overdue balances are collected immediately
Preparing deposits slips to be presented to the bank for cheques received from clients
Preparing receipts issued to clients upon making payment
Person Specification
Have excellent written and verbal English language capabilities
Have an eye for detail
A good deal of common sense, etiquette and an ability to think on one’s feet
Good computer literacy (MS Office, Excel)
Excellent organisational skills
Professional telephone manner
Proven ability to work under pressure and to tight deadlines
Flexible and mature approach with ability to work unsupervised
Expert in ERP/MS Excel/MS Word etc.
Knowledge of all accounting transactions
Education
University graduate in Accounting or any equivalent qualification such as ACCA, CA.
