Introduction: We are seeking a competent and diligent Receptionist to join our team. This role combines traditional receptionist duties with responsibilities for maintaining cleanliness and order in our office environment. The ideal candidate will be organized, efficient, and capable of managing multiple tasks simultaneously.
Key Responsibilities:
Reception Duties:
Greet and welcome guests as soon as they arrive at the office.
Direct visitors to the appropriate person and office.
Answer, screen, and forward incoming phone calls.
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., brochures, forms).
Administrative Support:
Perform clerical duties such as filing, photocopying, transcribing, and faxing.
Handle sensitive information in a confidential manner.
Maintain office security by following safety procedures and controlling access via the reception desk.
Office Maintenance:
Ensure a clean and tidy reception area.
Monitor and maintain office supplies inventory and place orders when necessary.
Communication:
Update calendars and schedule meetings.
Arrange travel and accommodations and prepare vouchers.
Coordinate with other departments to ensure compliance with established policies.
Skills and Qualifications:
Proven work experience as a receptionist or similar role.
Hands-on experience with office equipment (e.g., fax machines and printers).
Professional attitude and appearance.
Solid written and verbal communication skills.
Ability to be resourceful and proactive when issues arise.
Excellent organizational skills.
