Receptionist Required in Dubai - Dubai

Working Hours: Monday - Friday 8am-5:30pm (with flexibility to work very occasional weekends)

Salary circa: 10,000 AED per month

We are seeking a dynamic and highly motivated Receptionist to support the leadership team in optimising everyday operational efficiency. As a Receptionist in a British firm, you will play a pivotal role in ensuring seamless administrative support, managing and scheduling meetings, and contributing towards the smooth running of Front of House duties.

Role & Responsibilities

Reception
• Greet and warmly welcome brokers and clients, ensuring a positive and inviting atmosphere.
• Immaculately presented at all times.
• Keep the reception and barista area welcoming, tidy and presentable.
• Provide accurate information to clients and brokers.
• Order, receive, sort, and distribute daily deliveries efficiently.
• Order and manage front office supplies to ensure smooth daily operations.
• Line manage 1 x cleaner and 1 x barista.

Diary Management
• Efficiently manage and coordinate calendars, ensuring optimal use of time and prioritising key activities.
• Schedule and organise meetings, appointments, and travel arrangements, both domestic and international.

Administrative Support
• Provide high-level administrative support, including drafting and editing correspondence, reports, and presentations.
• Utilise advanced skills in Microsoft Excel, PowerPoint, and Word to create and maintain documents, spreadsheets, and presentations.
• Respond to all incoming enquiries via whatsapp, email and face to face greetings at reception.

Communication
• Act as a primary point of contact between the Directors and internal/external stakeholders.
• Ensure effective communication channels, both verbal and written, maintaining professionalism and confidentiality.

Organisation
• Implement and maintain efficient filing systems and databases, ensuring easy retrieval of information.
• Handle and prioritise incoming requests, emails, and phone calls, responding appropriately and in a timely manner.

Project Management
• Assist in managing special projects and initiatives as directed by the Directors.
• Coordinate with various departments to ensure project deadlines are met.

Event Coordination
• Organise and coordinate events, conferences, and meetings, including logistics and arrangements.

Qualifications
• Bachelor's degree in Business Administration, Management, or related field is preferred.
• Proven experience as a Receptionist or similar role, in Dubai
• Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
• Exceptional organisational and time-management skills
• Impeccable verbal and written communication skills
• High level of discretion and ability to handle sensitive information
• Proactive attitude with the ability to anticipate needs and solve problems
• Professional demeanour, with strong interpersonal skills and highly presentable
