Receptionist Required in Dubai - Dubai

The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).

Primary Duties & Accountabilities

Reception:

Ensure cleanliness of the Reception and toilet for guest , inform Office Girl in case of any cleaning or dusting required, check between meetings and before leaving every evening.
Make sure that there are magazines (Approved by Management) at the Receptions area.
Always keep the reception desk clean and make sure that you have enough stationaries.
Make sure that there is enough catalogue and some ACP samples as specified by H.R

Guests:

Always greet any person coming in the reception with smile :)
Familiarize yourself with guests and organize some welcome drink.
Try to communicate with the guest if you know that he/she felt impatient

Incoming Calls:

Gather information about caller and company background - Take contact details such as Name, Company Name, ContactNo/Email, Purpose of Call
Assist the caller before transfer to the person of interest
Any new Inquiries please transfer to Sales & Operation Manager if its existing customer ask the customer who is the sales person andtransfer the call if necessary
If the person of interest is busy, seek to establish contact details either customer,supplier,service provider then email to person of interest using the call log sheet format.
Any information that you receive regarding company matters , do not transfer the phone, take the information and send it to Management.

Inquiries:

Check the Inquiry and endorse to sales team
All new Inquiries either Local or Export transfer to Sales & Operation Manager
Customer who wish to know about the specification and technical details of our product transfer to Sales & Operation Manager.
Anything related to production please inform Sales & Operation Manager

Visitor Log Book:

Visitor who wish to meet office staff are allowed to enter the office only if they are on notarize by employee or have appointment. Please note that all visitors must be sign in and sign out on visitor log book, wear a visitor's pass/tag so as to display that the individual is an authorized visitor.
Maintain the recording of all the incoming visitors. Make an updated excel file and sent to HR everyday.
Maintain the record of all parcel delivery take the sign of receiver, date, courier name and put if its document or non-document.

Call Log Sheet:

Maintain the recording of all the incoming calls. Make an updated excel file and sent to H.R everyday. CC management

Storage/Pantry Reception:

Monitor reception supplies stock including toilet (guest) supplies , send a request to H.R
