Job Description

Answer incoming calls and maintain log sheet of consultants and driver. Ensure that the clients are taken care of once in the CORE office space.

Key Responsibilities

Answer all incoming calls, acquire all required information from the clients with regards to their enquiry and transfer them to the right consultant as necessary.
Prepare the daily and statistics lead reports every morning with the call logs done by the consultants on the previous day.
Create leads into the CRM and send the same to the consultants.
Take and relay messages on behalf of all of the employees, when they are unavailable to take calls.
Greet all visitors coming in and out of the office - keep record of guests visiting the office.
Maintain the log sheet for all the appointments of the consultants and the company directors.
In-charge of the attendance sheet making sure that everybody log in in the morning and sign out in the evening. Send the previous days log sheet to the HR officer every morning.
Prepare and offer refreshments/beverage to the visitors.
In-charge of monitoring, distributing the office and pantry supplies. Inform the Office Manager, if there is a need to purchase further supplies.
Tidy and maintain the meeting room and making sure that it is ready for the next users.
Turn on and off all the lights, TV, printer, server, and air humidifier every morning and again before going home.
Keep the pantry keys.
Tracking of employee movements in and out of the office.
General administrative and clerical support (PA work) for the company directors.
Receive and sort mail and deliveries.
Call in lunch orders upon confirmation from the Office Boy.
In-charge of the telephone system and any maintenance requests to the phone system.
Receive and sort emails from the company email and redirect them to the concerned employees.

Requirements

BA Degree in Business Administration
Knowledge of CRM is an advantage, but not essential
2 years in UAE in similar field.
1 year minimum as PA for executive level
Proven experience:

Ø As a senior managerial PA in UAE

Ø Handling of full office package

Have experience of coordinating multiple projects within a fast-moving environment with strong organizational and administrative skills.
Have excellent technical skills - including good working knowledge of CRM system, Word, Excel, and PowerPoint.
Self-motivated and determined to succeed
Outgoing and friendly
Have a confident phone voice
Know how to handle phone systems
Neat and tidy
Have a professional personal presentation
Have attention to details
Reliable and trustworthy
