HR & Admin Assistant Required in Dubai

PURPOSE:

The role is a key position, providing professional and administrative support, reporting to the JRHP Director. The position is responsible for central administration support to the Group in Middle East. Inter-personal and communication skills are essential for this role, and interaction with people at all levels, both face to face and on the telephone is important. Working well under pressure and demonstrating good proactive problem-solving skills are also essential.

REPORTING LINES: JRHP Director

A. KEY TASKS AND RESPONSIBILITIES: The role includes the following tasks:

HR Assistat

Assist and prepare file payroll documents.
Updating HR databases (e.g. new hires, separations, vacation and sick leaves).
Maintaining employee records and files.
Process documentation, leave requests, visa application and labour related matters.
Coordinating annual company and staff’s insurance.
Manage on-boarding - preparing offer letters, employment documentation and programmes.
Keeping accreditation certificates up to date of Architects and Engineers (SOE, DM and Trakhees).
Ensure staffs timesheet are updated in timely manner.
Organizing and scheduling interviews.

Other Administration:

Maintain an up-to-date inventory of office supplies and ensure that the use of office supplies is closely monitored, and re-orders are actioned as necessary.
Keep track of incoming and outgoing documentation, including contracts, invoices. This includes original documentation and saving electronic versions in the server or Box.net as directed / as per the current set system.
Ensure appropriate administrative systems and procedures are efficiently and effectively met.
Ensure the day-to-day functions of the Company are delivered efficiently and effectively, whilst taking time to develop and successfully implement improvements and new procedures / systems.

Document Management

Collect, scan and upload documents following set procedures.
Review and update technical documents (e.g. manuals, etc.).
Ensure all technical documents, such as reports, drawings and blueprints, are collected and registered in system.
Use the appropriate site / project approved Document Management system for everyday operations, maintenance, and quality control
Distribute and notify personnel of updated document versions and how to access them.
Retrieve files as required by employees and clients.
Work with documents and records across various departments, including human resources, marketing, and construction

B. SKILLS & QUALIFICATIONS :

A successful track record of at least 5 years in a similar role in a professional company.
Experience of architecture/design/engineering/construction industry will be useful.
Appropriate academic and vocational qualifications.
Must be highly proficient in the operation of all appropriate Microsoft office software packages. Ability to use PDF Editing & InDesign software would also be of benefit.
Professional and a team player.
Good oral and written communication skills.
Time management and ability to work under pressure, multi-task and meet deadlines.
Diligent with strong attention to detail.
